Reserving Space at The University of Texas at Austin

Online Space Booking Portal

Each college, school, unit, or venue has unique policies and procedures around space reservations. To ensure you are accessing the correct booking portal, please read the descriptions carefully and follow the links provided.

If you have any questions about a specific space or about access to reserve space, please contact the administrator at your college, school or unit.

What to Expect When Logging In

UT students, faculty, and staff will access the online space booking portals through single-sign-on. Please log in using your UT EID and password. The portals available to you and the spaces you can reserve or request depend on your affiliation at UT Austin. Spaces Available for Non-UT Requestors

University Housing and Dining, Commons Conference Center, and the Marine Science Insitute have a few spaces available to external (non-UT) organizations and individuals. Please review the policies or contact the venue for more information on submitting a request through the booking portal.

Conference, Events, and Parking Requests

The University of Texas at Austin boasts a wide array of venues capable of hosting conferences, events or meetings of any size. If you are hosting a large-scale event that requires the assistance of Parking and Transportation to manage, check out their information below!

University Housing and Dining

University Housing and Dining (UHD) oversees 15 on-campus residence halls, 2400 Nueces, Dobie Twenty21, University Apartments, and many dining and retail venues. In addition to unparalleled catering services, we offer flexible, affordable meeting and event space, overnight accommodations, and summer program housing for university or university co-sponsored groups. For first time event requests, please contact the Conference and Event Services team at uhd.conferences@austin.utexas.edu!

Commons Conference Center (CCC) is located in north Austin at the Pickle Research Campus at The University of Texas at Austin. The conference center offers updated meeting space, the latest technology and delicious dining complemented by an exceptional and service-oriented staff. Parking and Transportation Services (PTS) balance the needs of University staff, faculty, student, and visitor population. In order to accommodate events hosted, advanced notice is needed to properly maintain and allocate the nearly 16,000 spaces across the University's many parking garages and surface lots. College of Natural Sciences (CNS) event spaces, classrooms, and conference rooms can be booked by Staff, Faculty, Graduates, and Students depending on which building/room and your departmental affiliation. When you select a room to book you will automatically see what rooms you are allowed to book. Prior to submitting your request, please review the following Room Reservation Policy and Procedure information.

If you would like to request a space not seen in the reservation portal, or have any questions regarding the reservation process, please email the Resource Coordinator.

McCombs School of Business

 

The McCombs School of Business (MSB) is comprised of the College of Business Administration (CBA), the Graduate School of Business (GSB), and Robert B. Rowling Hall (RRH). Faculty, staff, and students may book event spaces, classrooms, and conference rooms based on their departmental affiliation.

If you have any questions about spaces in CBA/GSB, please email our Front Desk Reservation Coordinator at frontdeskreservations@mccombs.utexas.edu.

For inquiries regarding spaces in RRH, please email the Rowling Hall Reservation Team at rowlingroomreservations@mccombs.utexas.edu.

Marine Science Institute

 

The University of Texas at Austin Marine Science Institute (MSI) is the oldest and most significant marine research facility on the Texas coast. We have an array of conference rooms, labs, boats and vehicles that are currently reservable or requestable online. Marine Science Institute - Available Space for UT Staff, Faculty, and Students

MSI Boat Slip Rental (UT)

The Marine Science Institute has a private marina in Port Aransas, TX, offering yearly slip rentals to UT affiliates as well as the general public. Daily/Monthly rentals are not offered, and only multi-day requests will be reviewed.

MSI Long-Term Housing (UT)

The Marine Science Institute has furnished 1-bedroom, 2-bedroom, and 3-bedroom housing facilities for graduate students, postdocs, and visiting students/scientists on a first-come first-served basis. There is a priority rule.

Research and teaching are major functions of the Marine Science Institute of The University of Texas at Austin. A 57-ft. research vessel, the R/V KATY, is available to visiting groups for educational programs or research trips, as well as other UT affiliates.

The Marine Science Institute has meeting rooms and labs available to the University of Texas constituents. There is a priority rule. Users unafiliated with the Marine Science Institute must have an MSI sponsor to submit a request.
